Digital coworker role · AI Operations Coordinator

An AI back-office coordinator for the work that falls between systems.

Data entry, document chasing, scheduling, reconciliation, and the endless “did that get done?” It works across your line-of-business systems, inbox, and Teams the way a careful coordinator would.

§ 01The job

What it does, day to day.

  1. 01

    Data entry with checks

Moves information between systems, then reads it back to confirm it landed correctly.

  2. 02

    Document collection

Requests missing documents, tracks what’s outstanding, and files what arrives in the right place.

  3. 03

    Scheduling & dispatch

Coordinates calendars, appointments, and handoffs against real availability.

  4. 04

    Reconciliation

Matches invoices to POs and receipts, contracts to billing, and records across systems, then flags the exceptions.

  5. 05

    Inbox triage

Works a shared mailbox: decides what needs a reply, what needs a person, and what can be filed.

  6. 06

    Follow-through

Tracks commitments and nudges the right person before things slip.

§ 02Control

You set the limits. We measure the return.

Waits for a person

  • Payments and financial postings
  • Vendor or customer commitments
  • Changes to master records
  • New external recipients

What we measure

  • Hours of manual entry removed
  • Exceptions caught before close
  • Days outstanding on missing documents
  • Error rate on entered records
§ 03Systems

Connects to the tools your team uses.

  • QuickBooks
  • NetSuite
  • Dynamics 365 Business Central
  • Sage
  • Epicor
  • SharePoint
  • Outlook
  • Excel

Examples, not a fixed list. We build a connector scoped to exactly what this role needs, through an API, MCP server, command-line tool, or tested steps recorded from your team’s own workflow.

§ 05FAQ

Common questions, answered.

Isn’t this just RPA?

RPA follows a fixed script and breaks when a screen changes. A digital coworker understands the task, handles the exceptions, and asks when it’s unsure. When a fixed script is the better tool, we’ll tell you and build that instead.

Can it work in systems without an API?

Often, yes. We record how your team actually uses the application and turn those steps into tested tools the coworker can use, with the same read-back verification as any other connector.

Will it pay bills or move money?

Not without explicit approval. We design financial actions so a person approves them, and most deployments keep the coworker on the preparation and reconciliation side.

Next step

Hire your first AI Operations Coordinator.

We’ll sit down with the people who do it, map the steps, and put a number on the time. If a digital coworker is the right tool, you’ll know what it would return before you commit. If it isn’t, we’ll say so.
