Digital coworker role · AI Project Manager

An AI project manager that runs the board, so your PM can run the projects.

It turns a scope of work into tasks, milestones, owners, and dates, then follows up until the work is done. It does this inside the project system you already use, with a person approving every plan.

§ 01The job

What it does, day to day.

  1. 01

    Scope decomposition

Reads a statement of work and builds phases, tasks, deliverables, budgets, and target dates. It flags anything that exceeds what was sold.

  2. 02

    Resourcing & scheduling

Matches tasks to qualified people and checks real availability, including working hours, leave, and calendar commitments, before proposing dates.

  3. 03

    Follow-ups that get answers

Sends collaborative, specific follow-ups on stale tasks. It asks the right questions instead of a generic “any update?”

  4. 04

    Work lists & reminders

Sends each person a short, ordered list of open work on a schedule, with past-due items first.

  5. 05

    Status & customer updates

Drafts or sends status reports and answers customer “where are we?” questions from the verified schedule.

  6. 06

    Risk & closure

Escalates blockers and at-risk dates with evidence, validates deliverables at closeout, and assigns leftover work to owners.

§ 02Control

You set the limits. We measure the return.

Waits for a person

  • Creating tasks, milestones, or appointments
  • Changing owners, dates, budgets, or status
  • Messages to customers or vendors
  • Any new recurring automation

What we measure

  • PM hours returned per week
  • Time from signed scope to staffed plan

Examples, not a fixed list. We build a connector scoped to exactly what this role needs, through an API, MCP server, command-line tool, or tested steps recorded from your team’s own workflow.

§ 05FAQ

Common questions, answered.

Can an AI really do project management?

It can do most of the coordination work: building plans from scopes, checking availability, chasing updates, and assembling status. Your PM keeps the judgment calls, the approvals, and the relationships. At a managed IT provider, that split frees up 30+ hours of PM work a week.

Will it change our project tool or make us switch?

No. The coworker works inside the system you already use, through a connector scoped to exactly the project actions it needs.

What happens if it makes a mistake?

Plans and record changes need approval first. Every write is checked with a dry run, performed once, and read back to confirm. Its notes are signed as an AI assistant, and everything it does is logged.

We’ll sit down with the people who do it, map the steps, and put a number on the time. If a digital coworker is the right tool, you’ll know what it would return before you commit. If it isn’t, we’ll say so.
